Confirm every COD order on WhatsApp before you pack it, flag orders that show risk signals (unreachable numbers, duplicate orders, unusually large first orders, past refusals), ask the riskiest ones for prepayment or a deposit, and keep a record of numbers that refuse at the door. Do it before dispatch, when stopping an order costs nothing.
What a “fake” COD order usually is
- Impulse orders: placed late at night, regretted by morning.
- Duplicates: the same customer ordering twice because the first confirmation never arrived.
- Typos: a wrong digit in the phone number or a missing building number.
- Comparison orders: the same item ordered from three stores, kept from whichever arrives first.
- Pranks and malicious orders: real, but a small share of the problem for most stores.
Each one needs a different response, and only the last needs blocking. A confirmation message sorts most of the others out on its own.
Signals worth checking before dispatch
| Signal | Why it matters | What to do |
|---|---|---|
| The WhatsApp confirmation fails or bounces | The number may be wrong or not on WhatsApp | Call or SMS before packing |
| Two or more open orders from one number | Usually a duplicate, sometimes a comparison order | Ask which one to keep |
| First order, unusually high value, COD | The most expensive order to have refused | Ask for prepayment or a deposit |
| A past refusal on this number | The best single predictor you have | Prepaid only, or confirm by call |
| Incomplete or vague address | Likely failed delivery even if genuine | Ask for a location pin in the chat |
Build these rules from your own delivery data. A signal that predicts refusals for one store can be noise for another.
Five ways to cut them
- Confirm every COD order before packingA WhatsApp message with Confirm, Edit and Cancel catches impulse orders and duplicates at almost no cost. Setup is in COD order confirmation on WhatsApp.
- Ask for a location pin when the address is weakOnce the customer has replied, you are inside the 24-hour customer service window and can ask for their location in the chat. Couriers find a pin far more reliably than a district name.
- Ask risky orders to prepayFor first orders above a value you choose, or numbers with a past refusal, offer prepayment or a small deposit. Send it as its own message: an offer inside the confirmation turns the template into marketing.
- Keep a refusal record per phone numberTag a customer when a parcel is refused. Next time, that number gets prepaid only, or a call before dispatch. This is the single cheapest filter most stores never build.
- Move repeat buyers to prepaid over timeA customer who has accepted three COD parcels trusts you. That is the moment to offer a small reason to pay online next time, not the first order.
Do not punish real customers
Treat a non-reply as a soft signal. Many genuine customers ignore confirmations and still accept the parcel. Cancelling every silent order trades one problem for another. Measure the delivered rate of unconfirmed orders before you decide what to do with them, and when an order is cancelled, ask why: our cancellation save flow brought back 364 orders across 6 brands (about 460K EGP, as of 13 September 2026).

Frequently asked questions
Should I cancel COD orders that do not confirm?
Not automatically. Send one reminder, call the valuable ones and check your own data: if unconfirmed orders are still delivered at a reasonable rate, ship them. If they are mostly refused, stop.
Is it allowed to ask for a deposit on WhatsApp?
You can send a payment link in a conversation, but do not ask customers to type card numbers or other sensitive identifiers into the chat. WhatsApp’s policy forbids requesting them, and templates that do are rejected.
Can I share a list of fake-order numbers with other stores?
Be careful. A phone number is personal data, and sharing it with other businesses raises privacy questions in most MENA jurisdictions. Keep your refusal record for your own store unless your lawyer says otherwise.
