Send a WhatsApp utility template about an hour after each COD order, listing the order and offering Confirm, Edit and Cancel buttons. Pack only confirmed orders, fix edits before dispatch, and follow up non-replies once before calling. Keep the template free of offers so Meta keeps it in the utility category.
How to set it up
- Pass the payment method with every orderYour store has to tell the flow whether an order is COD or prepaid. Without it, everyone gets the same message and you cannot hold COD orders back from the warehouse.
- Get a utility template approvedWrite the confirmation as a plain order update: order number, items, total and delivery address. Meta classes order confirmations as utility only when they contain no promotion. A discount code or an upsell makes the template marketing. See why WhatsApp templates get rejected.
- Wait about an hour after the orderIf the message lands before your warehouse has seen the order, a customer can cancel faster than your team can stop the pick. An hour gives both sides time.
- Offer three buttons, not a questionConfirm, Edit and Cancel as quick-reply buttons. A tap is easier than typing, and every answer is machine-readable, so the order can be tagged without anyone reading the chat.
- Route the answer back to the orderConfirmed goes to fulfilment. Cancelled is cancelled in the store and triggers the cancellation save. Edit opens a conversation with your team, inside the 24-hour customer service window.
- Follow up non-replies once, then callTreat silence as a soft signal, not a cancellation. Plenty of real customers simply do not answer. Send one reminder a few hours later; call only the orders that are still silent and worth the call.
A template that stays utility
It names the order, lists what the customer will pay at the door and asks for one action. There is no offer in it, so it reads, and is billed, as an order update.
Do not end the template on a variable, and include sample values for every variable when you submit it. Both are common reasons for rejection.
What to measure
- Confirmation rate: confirmed orders over COD orders. This is your baseline.
- Cancellation at confirmation: orders stopped before packing. Every one is a parcel you did not pay to send.
- Edit rate: address and size changes caught before dispatch.
- Delivered rate for confirmed vs unconfirmed orders: the number that tells you whether to ship unconfirmed orders at all.
On Nonito, online order confirmation reached 37,665 customers at 9 brands and was followed by 2,714 attributed orders (about 3.8M EGP), with per-brand conversion between 2.9% and 10.7%, as of 13 September 2026. Your results depend on your product and pricing.
Frequently asked questions
How soon after the order should the confirmation go out?
About an hour. Sooner, and a customer can cancel before your warehouse can stop the pick. Much later, and they have moved on and are less likely to reply.
Can I add a discount for switching to prepaid in the confirmation?
You can, but the template then counts as marketing under Meta’s rules, which costs more and is subject to per-user marketing limits. Most stores keep the confirmation clean and make the prepaid offer in a separate message.
What if the customer does not reply?
Send one reminder a few hours later. If there is still no answer, call high-value orders and decide, from your own delivery data, whether to ship the rest.
Do I need the WhatsApp Business API for this?
Yes. Templates with buttons, sent automatically from your store’s orders, need the WhatsApp Business Platform (Cloud API). The WhatsApp Business app cannot do it at volume.
