A WhatsApp business account comes in two forms. The WhatsApp Business app is free: you download it, verify a number and reply from your phone and up to four linked devices, with broadcast lists of 256 contacts who saved your number. The WhatsApp Business API has no app of its own: you reach it through a provider or a platform, start conversations with Meta-approved templates, pay Meta per delivered template message and connect it to your store, your team and your automations. Stay on the app while one person can answer every chat; move to the API when orders need messages you cannot send by hand.

How to create a business account on the app
- Download WhatsApp BusinessIt is a separate app from WhatsApp Messenger, free on Google Play and the App Store.
- Verify your business numberEnter the number and the code WhatsApp sends by SMS or call. A landline works with call verification. If the number is already on personal WhatsApp, the app offers to move the account and its chat history.
- Set the business name and categoryUse the name customers know your shop by. Add a profile picture, usually your logo.
- Complete the business profileAddress, opening hours, description, email and website. Add a catalogue if you sell products, so customers can browse inside the chat.
- Set up the messaging toolsA greeting message for first contacts, an away message for closed hours, quick replies for the questions you answer every day, and labels to sort chats.
Where the app stops
- One account, a few screens. The phone plus up to four linked devices share one inbox. There is no assigning a chat to a colleague or seeing who replied.
- Broadcasts reach only saved contacts. A broadcast list holds 256 contacts, and only people who saved your number receive it. WhatsApp is also rolling out a monthly limit on broadcasts in some countries. See WhatsApp broadcast lists.
- No connection to your store. The app does not know an order arrived, shipped or was abandoned, so every confirmation and update is typed by hand.
- No automation at scale. Greeting and away messages are the only automatic replies. Anything that depends on an order needs a person.
- Unofficial bulk tools put the number at risk. Browser extensions and unofficial APIs that mass-send from the app break WhatsApp’s terms and are a common reason numbers get banned.
What the API adds
- Templates. Every conversation you start is a template Meta reviews, usually within 24 hours. Templates reach any customer who agreed to hear from you, saved number or not. See why templates get rejected.
- Bulk messaging, officially. A new account can message 250 unique customers a day outside the 24-hour service window; business verification lifts that to 2,000, and it rises from there. See messaging limits.
- Automation. Order confirmation with buttons, shipping updates, abandoned-cart reminders and win-back messages go out when the event happens.
- Your store’s data. Through a platform such as Nonito, Shopify orders, carts and fulfilments, and Odoo order and customer events, start messages. Nonito reads Odoo events through Nitro and writes nothing back to Odoo.
- A team inbox. Several agents answer from one shared inbox, with each customer’s history in one place.
Can I keep the app on the same number?
Sometimes. Meta now lets a number already on the WhatsApp Business app connect to the API through a provider that supports it, and keep working in the app. Some app features change on that number: broadcast lists become read-only, linked devices are unlinked at the switch (most can be linked again afterwards) and sending speed is capped. Without it, a number moved to the API is no longer usable in the app. Ask your provider before you move a number customers already know.
What each costs
The app is free. On the API, Meta charges for each template message delivered, priced by category (marketing, utility or authentication) and by the country code of the customer’s number, not where your business is. Messages customers send you are free. Your provider or platform may add its own fee.
For current rates and a monthly cost calculator, see WhatsApp Business API pricing by country.
Verification and the verified badge
On the app, the verified badge comes through Meta Verified, a paid subscription available in some countries. On the API, the badge belongs to an Official Business Account: it needs a verified business portfolio, 30 days on the platform, two-step verification and an approved display name. Business verification also lifts your messaging limit and number cap. See WhatsApp business verification.
When a store should move to the API
- You confirm cash-on-delivery orders by hand every day. See COD order confirmation on WhatsApp.
- You need to reach more than a few hundred customers at once, or people who have not saved your number.
- More than one or two people answer customers and you lose track of who replied.
- You want abandoned carts and shipping updates handled without anyone watching the phone.
- You want to know which message brought which order.
If you take a handful of orders a day and answer every chat yourself, the app is enough for now. Move when replying by hand is what slows orders down. For the full picture of the API and how to get access, read WhatsApp API: what it is, and when your business needs it.
Frequently asked questions
Is a WhatsApp business account free?
The WhatsApp Business app is free. The WhatsApp Business API is not: Meta charges per delivered template message, and providers usually add a fee. Messages customers send you are free on both.
Can I use the WhatsApp Business app and the API on the same number?
Only through a provider that supports Meta’s coexistence onboarding. Otherwise a number registered on the API cannot be used in the app at the same time.
How many people can use one WhatsApp Business app account?
The phone plus up to four linked devices. Everyone works in the same inbox, with no way to assign chats. Teams that need more move to the API with a shared inbox.
Can I send bulk messages from the WhatsApp Business app?
Only through broadcast lists of up to 256 contacts who saved your number, or paid business broadcasts where WhatsApp offers them. Mass-sending tools bolted onto the app break WhatsApp’s terms and risk a ban.
Do I need a developer for the API?
Only if you build the connection yourself. With a platform connected to your store, such as Nonito, you build messages and flows from a dashboard.
